GME Program Coordinator
Job Description / Duties
The Department of Radiology, in the Duke University School of Medicine, is seeking a GME Program Coordinator to join our team. In this role, you will provide administrative, operational, and programmatic support for the Diagnostic Radiology Residency Program. The program is our largest training program and is led by a Program Director and two Associate Program Directors.
In addition to working with program leadership, this position will work closely with the program’s Administrative Manager and the institutional GME Office to ensure compliance with Accreditation Council for Graduate Medical Education (ACGME) requirements and to support the effective functioning of all program activities. This role also serves as a central resource for trainees and acts as a liaison between the program and internal and external stakeholders.
The ideal candidate for the GME Program Coordinator position will bring a blend of strong administrative capabilities, interpersonal skills, and a proactive, service-oriented mindset.
Description:
- Serve as the Program Coordinator
for the Diagnostic Radiology Residency Program.
- Manage the day‑to‑day
administrative operations of the residency program, including providing
information and guidance to residents.
- Event planning, such as
graduation and other celebrations, recruitment events, etc.
- Manage purchase orders, supply
requests, trainee reimbursements, and vendor communications.
- Coordinate program schedules,
clinic assignments, call schedules, and rotation blocks.
- Perform various duties such as
processing leave of absence requests, tracking timecard submissions,
distributing evaluations, and ensuring trainees remain current on all
compliance requirements.
- Assist faculty program leadership
with maintaining ACGME accreditation, including data collection,
documentation, and reporting.
- Support program meetings by
preparing agendas, taking minutes, and tracking action items.
- Ensure ongoing program compliance
with institutional and regulatory requirements.
- Organize and manage the residency
recruitment process, including ERAS application management, interview
scheduling, applicant communication, and Match coordination.
- Support onboarding and
offboarding activities and serve as a primary contact for trainees
throughout these processes.
- Provide verification of
credentials to external agencies regarding resident training, which may
affect medical licensing and credentialing.
- Maintain web‑based ACGME
accreditation surveys.
- Implement updates to the program
website, ensuring accuracy and up‑to‑date information.
- Perform other related duties
incidental to the work described herein.
Qualifications / Required Skills
Minimum
Requirements:
- Work requires analytical,
communications and organizational skills generally acquired through
completion of a bachelor's degree program.
- Minimum three (3) years of
experience; strongly preferred in Graduate Medical Education.
- Familiarity with ACGME
accreditation requirements, ERAS, NRMP, ADS, and common GME-related
platforms (e.g., MedHub, QGenda).
- Or, an equivalent combination of
relevant education and/or experience.
